Alert Reasons
Would you like Alert Reasons to be displayed on the Progress Report claim page? If so, please note that faculty will be required to select an Alert Reason whenever they mark a student at-risk. While this facilitates more reporting, it is completely optional.
A few examples include:Â
- Academic Performance
- Attendance - excessive absences or tardiness
- Failed Exam
- Needs Tutoring
- Not Completing Assignments
- Other (please explain)

Appointment Reasons for Advising and Tutoring
Enabling Appointment Reasons allows advisors and tutors to run reports showing the reason why the student scheduled the appointment. Appointment reasons can also be added to the summary reports that advisors and tutors create after meeting with students. The list below includes the default Advising Appointment Reasons that are in your site. You can choose to use some, none, or all of the reasons below. You may also create custom Reasons specific to your institution.Â
- Advising
- Career Counseling
- Changes to my Schedule
- Eligibility Questions
- Externship Inquiry
- Internship/Job Search Assistance
- Interview Coaching
- Résumé Development
- Selecting a Major
- Weekly Meeting/Scheduled Meeting
Note:Â The only default reason for tutoring is "Tutoring".Â

At Risk Emails
At Risk Notifications can be emailed to students when faculty mark them at risk to fail a class. While this is an optional feature, it can be helpful in getting your students back on track to pass their courses. You will have the option of adding special instructions so your students know what steps to take after being marked at risk.Â
Example:
The purpose of this email is to inform you that we have received notification that you might need support. The information above should indicate from where the alert was issue. Your advisor will reach out to you shortly.Â

Cancellation Reasons
Cancellation Reasons allow users to select and report on why a given appointment was cancelled. The following is a list of commonly used Cancellation Reasons.
- Car Trouble
- Death in the family
- No longer needed
- Other (please explain)
- Out of town
- Sick
- Team Travel (Athletics)
- To be rescheduled

The email footer will be listed at the bottom of every email generated from within GradesFirst. While this is an optional feature, it can be very helpful in assisting users who may have questions regarding the email or the use of the system.

Locations
Which service locations would you like to implement in GradesFirst? These locations will be used in conjunction with tutor and advisor calendar functions enabling appointments to be created based on scheduled availability times for a given service location. We will also need to know at which locations you would like to implement the kiosk and front desk features.Â

User Roles
What type of roles would you like to have in the system? What would you like the roles to be named? The roles function will allow you to assign a group of permissions to multiple users simultaneously, avoiding the need to assign permissions one-by-one.Â
A few examples of common User Roles include:

- Tutor
- Coach
- Tutor Coordinator
