Tutor Settings

The tutor settings on the Admin page are for GradesFirst's Tutor Payroll module.

Tutor Pay Levels

Your Tutor Pay levels define the different pay scales to which you will assign each tutor.  Below are a few examples of the types of tutor pay levels that may be defined.

 

To add a new pay level:

  1. Click the Add a New Pay Level link.
  2. Fill in the name, description, hourly rate, and max hours per week.
  3. Click Save.

Name: Enter the name for which this pay level will be referred to as.

Description: The description is viewed only from this screen and is completely optional.

Hourly Rate: This is the rate of pay for which tutors assigned to this pay level will earn.

Max Hours Per Week: This is another optional field that is not viewed anywhere else in GradesFirst. 

Note: The above Max Hours Per Week , on the pay level, should not be confused with the tutor’s individual Tutor’s Preferred Hours.  For more questions on the differences between these two, or how they should be defined, please contact GradesFirst Support.

Tutor Pay Cycles

The Tutor Pay Cycles determine how often are tutors to be paid (e.g. Weekly, bi-weekly, monthly, etc…)

To add a new pay cycle:

  1. Click the Add a New Pay Cycle link.
  2. Fill in the name, description, pay cycle length, and initial date for pay cycle fields.
  3. Click Save.

Name of Cycle: Enter the name for which this pay cycle will be referred to as.

Description: The description is viewed only from this screen and is completely optional.

Pay Cycle Length: This is the length of time for which your tutors will be paid.  Valid options are Weekly, Bi-Weekly (every two weeks), Semi-monthly (the 15th and last day of each month), or Monthly.

Initial Date for Pay Cycle: This is the first day for the start of your pay cycle.  Once set, this date cannot be changed.  Please see your institution’s payroll specialist if you have questions about what this date should be.

Tutor Payroll

These settings define the payment rules for tutor payroll.

Payment Rules: Check this box if tutors should only be paid for appointments that have had a summary report submitted.  In other words, after each tutor appointment, the tutor should fill out a tutor summary report that details exactly how long the appointment was.  Without this tutor summary report, GradesFirst would use the appointment length, as defined when the appointment was created, to determine exactly how long the appointment was. 

Printing Timesheets Options

Include Tutor’s School ID: This option refers to, when printing tutor timesheets, whether or not to include the tutor’s school ID.

Appointment No-Show

If an attendee (e.g. student) is a no-show for an appointment, how much should the tutor be paid?  We have two options; Percentage or Minutes.

Tutor Time Rounding

Some institutions elect to round a tutor’s payment by either the daily total or at the end of the pay cycle.  If your institution does not round, you may leave both fields blank.

Daily Rounding: This setting defines how the total daily time a tutor works should be rounded.  For example, if a tutor has worked 147 minutes today, setting the rounding to 30 minutes would round the daily time up to the next 30 minute interval or 150 minutes.  This is done every day of the pay cycle.

Pay Cycle Rounding: This setting defines how the total pay cycle time a tutor works should be rounded.  For example, if a tutor has worked 147 minutes for the entire pay cycle, setting the rounding to 30 minutes would round the to time up to the next 30 minute interval or 150 minutes.  This is done at the end of the pay cycle.
